ROLE OF POSITION WITHIN ACADEMIC AFFAIRS

The position of Administrative Specialist II (Front Desk) in the Registrar’s Office serves a mmission-critical role within student information services. Serving as the project leader for front desk operations, this person is responsible for greeting students, faculty, staff and other guests entering the Registrar’s Office. Strong customer service skills are critical for success in the position. This position serves as a front-line staff member for answering phone calls and determining if and when visitor needs require interaction with other staff members. Clerical duties include, but may not be limited to, processing requests for course adds, single course drops/withdrawals, transcripts, enrollment verification, deferment verification, letters of good standing, information releases, etc. Additional duties will include office purchasing, campus mail, entering degree information, mailing diplomas and aiding the Registrar in coordinating commencement. It is expected that the person in this position maintain a positive attitude and represent the office well at all times.

Note: The position does not evaluate student eligibility for graduation, but rather notates awarded degrees in POISE.

Aid Registrar in coordination of commencement

·         Order commencement flowers

·         Coordinate with Marketing & Com. regarding graduation banners and ambassadors

·         Assist Assistant Registrar with preparation of graduation cards and diploma cover letters

PROFESSIONAL DEVELOPMENT  

Each academic year this position is encouraged to participate in any on-campus training that may be available relating to the duties assigned. The person in this position is also encouraged to consult with the Registrar regarding other training opportunities that may be available off-campus. It is expected however that regular engagements requiring time away from the workstation will be kept to a minimum. All regular campus engagements occurring during work hours must be approved by the Registrar.


ORGANIZATIONAL MANAGEMENT STATEMENT

This position does not hold supervisory status over any other position in the office.

 PERMITTED BREAK PERIODS

The employee is permitted two 15 minutes breaks per workday – one break in the morning and one in the afternoon. A single 1-hour lunch period is mandatory. Breaks may not be combined with the lunch period, nor may the two breaks be combined together. Breaks should not be taken during times when the office is experiencing a high volume of traffic.
